Implaxis AICustom AI workflows for business work

Document Processing & Data Entry

Spend less time retyping document details

Document processing automation can extract fields from invoices, forms or other agreed documents, check them, and prepare a record for review. Implaxis can build a document workflow for your team to operate or process a defined batch as managed work.

Every engagement starts with discovery, then a paid Workflow Audit for one process or a paid Business AI Audit for wider opportunities. The audit fee is quoted after discovery.

Turn documents into reviewable records

Staff often retype the same fields, then spend time finding omissions or differences. A document data extraction service maps an agreed file into fields, checks them and sends uncertain records for review.

Choose how processing is done

A system your team operates. Implaxis can set up a workflow for one recurring document type, with agreed formats, field rules and a destination such as a review spreadsheet or client system. Your team reviews uncertain or financial records and approves any posting.

A managed batch. Implaxis can process an agreed batch under a defined validation and exception process. The founder reviews deliverables before they are sent to you, and your authorized person approves consequential entries. We agree the volume, formats, checks and support before a custom quote; managed work has no generic setup fee.

What you can receive

Outputs can include mapped fields, checked records, a list of items needing attention and instructions for checking entries against source documents. Each record shows its source page, extracted value, check result, issue and reviewer; unclear text or a different total stays visible. We need permitted sample files, field definitions, handling and retention requirements, the main record to check when details differ, destination and reviewer. Start with one document type. Layout, image quality, volume and system connections affect scope. Later, assess time per document, corrections and completed records; these are measures, not promised savings or accuracy.

How the work moves

  1. Agree the document and fields. Set formats, required values, destination and which record to check if details differ.
  2. Extract and check. Text recognition or AI maps variable text into fields; software checks required values, totals and duplicates.
  3. Hold unclear records. Keep source details visible and send mismatches to the reviewer.
  4. Approve the result. Your team confirms the record before export or entry.

Where useful, FlowOS Memory brings together field definitions, extraction steps, checks and requirements for a complete review record. A person resolves uncertainty and approves the result.

Illustrative example

A prepared fictional invoice, INV-008 from Example Paper Co., lists $100.00 and $28.50 in items against a printed total of $148.50. Ordinary arithmetic finds a $20.00 difference, and the sample includes a page-two shipping note that may explain it. The note remains a suggestion until a finance clerk checks it against the source. The record stays pending review; nothing is exported or posted.

Review, ownership and next step

For a system your team operates, the founder reviews the handoff and initial examples; your team runs it after handoff. Build and setup are separate from monthly hosting, monitoring and maintenance. Implaxis retains the system and workflow; you may request a data export. Complete ownership is separately quoted at a substantially higher price.

For a managed batch, volume, document variation, checks and exceptions are scoped after the audit. The founder reviews each deliverable; your team approves postings. You can stop after the report; if you buy the service, the full audit fee is credited against it.
