Every engagement starts with discovery, then a paid Workflow Audit for one process or a paid Business AI Audit for wider opportunities. The audit fee is quoted after discovery.
Discuss your lead workflow See what the audits include
Keep existing inquiries moving
When inquiries arrive across channels, staff can lose time copying details, finding an owner and deciding what to ask next. A checked record and visible next step can help your team follow up consistently with existing prospects; it does not promise more leads or sales.
Choose who operates the workflow
A lead system your team runs. Implaxis can set up an intake source, a client-owned lead register or customer records system, required-field and duplicate checks, rule-based assignment, reminders and unsent reply drafts. Your team owns the offer facts, response rules, lead owners and decisions about messages to leads.
Managed follow-up work. Implaxis can monitor an agreed queue or handle defined exceptions when the monitoring scope, channels, volume, hours and approval boundaries are set. The founder reviews client deliverables, and your authorized person approves customer-facing messages. We quote the agreed work after the audit without adding a generic setup fee.
What you can receive
Outputs can include an intake map, field rules, checked lead records, category and reason, owner and next step, reply templates and operating instructions. Records retain their source and missing details; incomplete requests wait for a person. We need the approved intake source, required fields, response policy, lead owner, destination and business-hour rules. Start with one source; extra channels, system connections or exception handling need separate scope. Later, assess response time, completed follow-ups and record corrections; these measures do not promise more leads or sales.
How the work moves
- Map the intake. Choose the source, required fields and destination.
- Check and route. Software checks fields and duplicates; rules assign an owner or flag missing details.
- Draft a reply. AI can classify a request and prepare an unsent draft from approved facts.
- Review and act. A person checks the owner and policy, edits the draft and approves any contact.
Where useful, FlowOS Memory brings together offer facts, intake steps, routing rules and requirements for a complete lead record. Your team reviews each lead and reply.
Illustrative example
A prepared fictional inquiry, DEMO-014 from Example Studio, asks about organizing website inquiries and names lead follow-up as the area of interest. The sample checks required fields and duplicates, then suggests a sales category and a short, unsent reply asking about the current process and channels. Because an owner or response rule is missing, the record is held for a sales coordinator to decide the next step. Nothing is sent or contacted.

Review, ownership and next step
For a system your team operates, the founder reviews the handoff and initial examples; your team then runs it. Build and setup are separate from monthly hosting, monitoring and maintenance. Implaxis retains the system and workflow; you may request your data export. Complete ownership is separately quoted at a substantially higher price.
For managed follow-up, Implaxis performs the defined recurring work for a custom quote. The founder reviews deliverables; your team approves messages and consequential actions. You can stop after the report; if you buy the service, the full audit fee is credited against it.
